ENSURING ACCURACY OF MEMBERS’ CONTACT DETAILS – On 25 May 2018 a new data protection regulation and data protection act came into force, GDPR and the Data Protection Act 2018. SIGBI ensured that clubs were provided with guidance, FAQs, a privacy notice, a data protection policy, a complaints process, a data breach policy and a data protection audit form, all of which is still on the SIGBI website. In addition to ensuring that each club has such policies and procedures in place, it is best practice to ensure that once a year you check that you are holding the correct contact information on your members and that they are happy for you to hold them and to use them for the purposes of enabling members to contact each other and to receive information about club activities. This is most easily done at renewal time by requiring the members to confirm the accuracy of their information and their agreement to its use. You should then keep a copy of the response and repeat the exercise each year. You should remove contact details for those who are no longer members but it is in order to retain a record that they were actually members at the relevant time.

TREE PLANTING DATA COLLECTION – The SIGBI Centenary Tree Planting project is gathering momentum – thank you to all Clubs who have or plan to plant trees during the Centenary year. We want to be able to chart the number and type of trees that are being planted, and will be producing a map showing the locations and the total number of trees that have been planted by SIGBI Clubs. We therefore ask you, if you have already planted trees, or as soon as you have planted them in future, could you please complete the short form below and submit it. We will be launching the map in February, and will update it thereafter at the end of each month, so if you submit the form during a month, you will be able to see your activity on the map the month after.
Please note: this is NOT a replacement for completing your programme report forms, please continue to do so when you have planted trees, or for sending your “stories” (including photographs) for putting on the Centenary website. It is an additional activity to allow us to map the planting of trees in a centralised manner.

REMINDER RE “COST OF BEING A SOROPTIMIST” SURVEY – This survey was sent directly to Club Treasurers in September. We have received 185 completed surveys so far, out of 266 Clubs. Thank you to all Treasurers who have so far completed it, but to get a complete picture we need the remaining Clubs to do so as soon as possible. Thank you:
