GDPR and the Data Protection Act 2018

See reminder in SIGBI Club Mailing 22 01 2021:

On 25 May 2018 a new data protection regulation and data protection act came into force, GDPR and the Data Protection Act 2018.

SIGBI ensured that Clubs were provided with guidance, FAQ’s., a privacy notice, a data protection policy, a complaints process, a data breach policy and a data protection audit form.

In addition to ensuring that each Club has such policies and procedures in place, it is best practice to ensure that once per year you check that you are holding the correct information on your members and that they are happy for you to hold their details and to use them for the purposes of enabling members members to contact each other and to receive information about Club activities.

When should this annual check be done?

This is most easily done at renewal time before A.G.M. by requiring the members to confirm the accuracy of the of their information and agreement to its use.

You should then keep a copy of the response and repeat the exercise each year.

You should remove contact details for those who are no longer members. It is in order to retain a record that they were actually members at the relevant time.

How SI SS Region uses your information.

Your privacy is important to us.  We are committed to safeguarding the privacy of your information.

Why are we collecting your data?

We collect personal data to fulfil our role as a membership organisation, to monitor and and assess the quality of our services, to fulfil our purposes and to comply with the law regarding data sharing.  In legal terms this is called  “legitimate interests”.

When it is required, we may also ask you for your consent to process your data.

We do not share your information with others except as described in this notice.

The categories of information that we may collect, hold and share include:

  • Personal Information (such as name, date of birth, address, telephone number and E mail address).
  • Characteristics (such as gender, ethnicity, language, nationality and country of birth).

Storing your data

We hold your data for varying lengths of time depending on the type of information in question but in doing so we always comply with Data Protection legislation.

We will contact you annually to check that the information we are holding is accurate and that you agree that we hold it.

Who do we share your information with?

We will not share your information with third parties without your consent unless the law requires us to do so.

Requesting access to to your personal data

Under Data Protection legislation, you have the right to request access to information about you that we hold.

You also have the right to:

  • object to processing of personal data that is likely to cause, or is causing damage or distress
  • prevent processing for the purpose of direct marketing
  • object to decisions being taken by automated means
  • in certain circumstances, have inaccurate personal data rectified, blocked, erased or destroyed; and
  • claim compensation for damages caused by a breach of the Data Protection regulations.

Individuals applying for a grant from the 3S Fund, SI Scotland South Region

When individuals apply for a grant from the 3S Fund, they submit their information in an application form, provide details of their project, and an outline of what the grant will be used for.  Those who are awarded a grant are asked to provide a report and give a presentation at a Club or Region meeting.

Any personal information that is provided in the application will only be used for the administration and management of any grants that are awarded.

We would like to share your information with other Soroptimists both from SIGBI and the other four Federations, Soroptimist International, our partners, other charities and related companies.

Number 63 Bayswater Road, London W2 3PH, is a Bed and Breakfast Hotel in the heart of London, owned by Soroptimists since 1948.
